1. Overview
This Agreement applies to all commissioned creative services provided by FLOWER PROJECT, including but not limited to weddings, brand collaborations, corporate projects, exhibitions, editorial styling, floral installations, event styling, and any project requiring consultation, creative development, on-site installation, styling, or dismantling.
Unlike retail floral products, creative projects are commissioned services. Each project is individually designed in response to the client's brief, venue, schedule, and artistic direction.
By confirming a quotation or making payment, the Client agrees to the terms set out in this Agreement.
2. Quotations
Unless otherwise stated, all quotations remain valid for three (3) calendar days from the date of issue.
Following this period, pricing, flower availability, production schedules, and project scope may be subject to revision.
3. Booking & Payment
Unless otherwise agreed in writing, full payment is required to confirm a project and secure the production schedule.
For selected large-scale or long-term projects, FLOWER PROJECT may, at its sole discretion, offer a booking deposit arrangement. The payment schedule will be stated within the project quotation.
No production, procurement, or scheduling will commence until the required payment has been received.
4. Design Development & Revisions
Every commissioned project includes a level of creative consultation appropriate to the selected service.
The number of design revisions included varies according to the commissioned package or proposal.
Additional revisions, meetings, redesigns, or changes requested beyond the included scope may incur additional design fees, calculated at FLOWER PROJECT's prevailing hourly rate.
5. Artistic Integrity
The Client commissions FLOWER PROJECT for its artistic philosophy, creative direction, and floral language.
While collaboration and discussion are welcomed throughout the design process, the final work remains an artistic interpretation developed specifically for each commission.
Seasonal availability, botanical characteristics, technical considerations, venue conditions, and artistic judgement may require reasonable adjustments to flower varieties, construction methods, or design details without compromising the overall creative intention.
Such adjustments shall not be regarded as defects or deviations from the commissioned work.
6. Seasonal Materials & Floral Substitution
Flowers are living materials and their availability is influenced by seasonality, weather, growing conditions, and international supply.
Where specified materials become unavailable or unsuitable, FLOWER PROJECT reserves the right to substitute flowers or botanical materials with alternatives of comparable artistic quality while preserving the overall colour palette, proportion, style, and design concept.
7. Installation Schedule & Venue Access
The Client is responsible for ensuring that the agreed installation area is fully accessible at the scheduled installation time.
Should venue access be delayed, restricted, or unavailable, FLOWER PROJECT cannot guarantee the originally agreed completion time or the intended installation standard.
Where advance notice is provided, additional installation personnel may be arranged where reasonably possible. Any associated labour costs shall be discussed with and approved by the Client before proceeding.
8. Venue Conditions
The Client is responsible for ensuring that the venue provides suitable conditions for floral installation and display.
Environmental factors including excessive heat, direct sunlight, strong wind, heavy rain, inadequate lighting, restricted access, or unsuitable surfaces may affect the condition or appearance of floral works.
Where the Client requests installation despite unsuitable environmental conditions, FLOWER PROJECT shall not be responsible for any resulting deterioration of fresh floral materials.
9. Care of Floral Works
Until installation is completed, all floral materials remain under the care of FLOWER PROJECT.
Once floral works have been installed, positioned, or formally handed over to the Client or venue, responsibility for accidental damage, interference, relocation, or mishandling by third parties transfers to the Client.
10. Dismantling & Removal
Unless otherwise stated, dismantling is not included within the installation fee.
Where dismantling services are requested, the applicable dismantling fee will be stated in the quotation.
If dismantling is delayed beyond the agreed collection time due to venue restrictions or Client requests, additional labour charges may apply at the prevailing hourly rate.
Ownership of floral materials following the event shall be agreed as part of the project quotation.
11. Photography & Portfolio
Unless otherwise requested in writing before the event, FLOWER PROJECT reserves the right to photograph and document completed projects for archival, editorial, educational, promotional, and portfolio purposes.
Such documentation may be published through our website, exhibitions, publications, social media platforms, and other marketing materials.
If confidentiality is required, the Client must notify FLOWER PROJECT before project commencement.
12. Delivery, Loading & Site Access
Delivery charges include standard transportation and labour as specified in the quotation.
Where venues require special access arrangements, loading permits, security clearance, extended carrying distances, stair access, parking fees, or additional manpower beyond the agreed scope, any resulting costs may be charged separately following discussion with the Client.
13. Cancellation & Rescheduling
Cancellation and rescheduling of creative projects are governed by the Delivery & Order Changes Policy, unless otherwise stated in an individual quotation or project agreement.
Because flowers, materials, production schedules, and creative resources are secured specifically for each commissioned project, payments are generally non-refundable once confirmed.
14. Force Majeure
FLOWER PROJECT shall not be liable for delays, cancellations, or inability to perform services resulting from circumstances beyond reasonable control, including but not limited to:

Government restrictions

Public health emergencies

Civil unrest

War
-
Transportation disruption

Supplier failure

Other force majeure events
Where reasonably possible, both parties will cooperate to arrange an alternative installation or event date.
15. Limitation of Liability
The Client acknowledges that fresh flowers are living materials whose condition may naturally evolve before, during, and after installation.
To the fullest extent permitted by law, FLOWER PROJECT's liability shall be limited to the value of the commissioned services.
FLOWER PROJECT shall not be responsible for indirect, consequential, incidental, or economic loss arising from venue conditions, third-party actions, environmental factors, or circumstances beyond our reasonable control.
16. Acceptance
Confirmation of a quotation, payment of an invoice, or commencement of project planning shall constitute acceptance of this Agreement and all related FLOWER PROJECT policies.
